What a Demo No-Show Tells You

A missed meeting does not automatically mean a lost deal. It does tell you that the meeting had less protection on the buyer’s calendar than you expected.

Read the signal

Emergencies happen. So do weakly qualified demos booked before the buyer has a clear problem or sponsor. A seller who responds with repeated calendar links learns little about which case applies.

Make the next move

Send one courteous note acknowledging the missed meeting and restating the purpose in the buyer’s words. Offer a short reschedule path, then ask whether the priority or timing changed. If the buyer has a new constraint, use it to design a smaller next step.

Language you can adapt

Illustrative wording:

We missed each other today. We had planned to test whether the handoff workflow fits your process. Is that still a priority this month, or would it be better to revisit when the project has an owner?

The wording is a starting point. Replace the problem, evidence, and request with details the buyer actually gave you. If those details are missing, ask a question before sending a polished message. Specificity makes it easier for the buyer to correct your understanding and easier for you to see whether the opportunity is moving.

Decide what happens next

If the buyer reschedules and confirms the question, proceed. If the meeting repeatedly slips without a renewed reason, remove it from the near-term forecast and stop reserving specialist time for it.

Write the result in your deal notes as an observable fact: who responded, what they agreed to do, and when. A friendly reply is useful, but a decision, a named owner, or a scheduled review tells you more. If the next step remains vague, treat that as information about the deal rather than a reason to send the same follow-up again.

Use these examples responsibly. Describe your product, pricing, and customer results accurately, and adapt every suggestion to the buyer’s stated process.
